Office Coordinator / Technical Administrator

Our client is an award-winning energy management and technical engineering consultancy based in West Yorkshire

An opportunity has arisen for an Office Coordinator/ Technical Administrator to join their team on a permanent basis.

The position requires a highly motivated person, who has a high degree of business acumen.

Responsibilities on a daily basis:

  • Coordinate the North Satellite Office
  • Assist Company Directors and Consulting Engineers with their work, diary and travel arrangements
  • Liaise with the Consulting Engineers and others regarding projects, maintenance, feasibility studies, evaluation, costing and programming
  • Work with Consulting Engineers to manage projects/trackers, especially in the early project stages to ensure delivery matches client expectations
  • Centrally administer, plan and coordinate some of our national projects for key clients under the direction of Key Account Managers
  • Liaise, coordinate and programme minor works and projects through our supply chain for specialist sub-contract work and support

  • Liaise with Consulting Engineers and Clients to create timely and accurate technical information reports

  • Working with the Commercial and Marketing Team on Tendering Opportunities - assisting with coordination and administration of responses

  • Assist with company marketing campaign materials - digital, social media, website, editorials, events, presentations etc.

  • Administration and control of the internal Exact Financial, Project Management, CRM and ERP systems

To be considered for the role of Office Coordinator, you must have:

  • Experience of contractor and supply chain management

  • Office coordination and commercial exposure with the openness to learn new skills on the job

  • Ability to operate with autonomy with a keen eye for detail and a strong drive and passion for achieving results whilst managing high volume workloads

  • Experience and knowledge of working in a technical environment or with technical data and reports

  • Knowledge and experience of managing multiple individuals and teams

  • Experience of developing robust internal administrative processes

  • The ability to engage with clients alongside management

  • Experience in supporting bids and tenders

  • Excellent communication, organisation & IT skills - the ability to prioritise and multi task in a fast paced moving environment

  • Ability to work directly with senior management and learn quickly on the job

  • A keen eye for detail with a strong drive and passion for achieving results and the ability to manage high volume workloads

  • A full and comprehensive understanding of Microsoft Office applications and in particular, Microsoft excel at an intermediate or advanced level of capability

  • The ability to develop, adapt and maintain client relationships and to act as a credible ambassador for our client externally

  • Ability to draft technical tenders, proposals and reports and to prepare presentations
